Catering Policy

Bobcat Dining Catering at Frostburg State University

Bobcat Dining Catering at Frostburg State University provides flexible, professional catering services designed to support a variety of campus and approved external events. Our policies ensure consistency, reliability, and overall client satisfaction.

General Catering Guidelines

  • Catering services are available to all Frostburg State University departments, student organizations, and approved external groups hosting events on campus.
  • Events should be booked at least 10 business days in advance to allow sufficient time for planning and coordination.
  • Large or complex events may require additional lead time for staffing, menu planning, and logistics.

Menu and Customization

  • Bobcat Dining offers a broad selection of preset menu options, including items suitable for a wide range of campus and offsite events.
  • Breakfast, luncheon, and dinner menus; coffee breaks and snack stations.
  • Formal banquets, BBQs, and themed events available including weddings, birthday parties, and private events on or off campus. Off‑campus events are subject to separate delivery pricing and gratuity fees.
  • Menu customization is available to accommodate dietary needs, budget considerations, themes, and requests for seasonal or locally sourced ingredients when available. Pricing may be adjusted based on market conditions.

Pricing & Billing

  • Individual pricing and billing.
  • Quotes can be obtained from the Catering Office.
  • Formal quotes will be provided upon booking.
  • Final billing is based on the guaranteed guest count and selected menu.
  • Accepted payment methods include University accounts, credit cards, checks, and other approved forms of payment.

Staffing and Service

  • Event Staffing: Catering includes the appropriate number of professional staff for setup, service, and cleanup. Additional staffing requests will incur a labor charge per staff member.
  • Service Styles: Buffet, plated service, pickup, and drop‑off options are available. Specialty services may include service fees or charges.

Cancellation and Changes

Cancellation Policy

  • Cancellations must be made at least 5 business days in advance to avoid charges.
  • Late cancellations will incur partial or full charges depending on expenses incurred by the catering department.

Changes to Orders

  • Final guest counts must be submitted no later than 3 business days before the event.
  • Any menu changes must be submitted, requoted, mutually agreed upon, and include a newly signed contract at least 7 days in advance.

Venue Coordination

  • Location Support: Catering is available across campus, including Chesapeake Dining Hall and Lane University Center.
  • Setup Requirements: Event organizers must coordinate with venue staff for table arrangements, AV needs, and other logistics.
